Plank and Sons Service (Pty) Ltd, trading as Plank and Sons Services (“PSS”, “we”, “us”), respects your privacy. This policy explains what personal information we collect through psservice.co.za and when you deal with us, why we collect it, who we share it with and the rights you have under the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who is responsible for your information

PSS is the responsible party for the personal information described in this policy.

2. What we collect

Information you give us

  • Quote requests: your name, email address, phone number, suburb or area, how you prefer to be contacted, any notes you add, and the products on your quote list.
  • Expert-advice and contact forms: your name, phone number, email address, the topic you ask about, your suburb or area and your message.
  • Customer accounts: your login details, contact details and your quote history.
  • When we work for you: your site address and details about your property and existing systems that we need to assess, quote, install or service equipment, plus invoicing and payment records.
  • Correspondence: messages you send us by email, phone or WhatsApp.

Information collected automatically

  • Technical information such as your IP address, browser and device type, the pages you visit and how you arrived at our site, collected through cookies and similar technologies (see section 9).

We do not ask for special personal information (such as health or religious information), and our website is not intended for children under 18.

3. Why we use your information

We process personal information only where POPIA allows it: with your consent, to take steps you have asked for before a contract, to perform a contract with you, to comply with the law, or for our legitimate business interests. We use your information to:

  • prepare and send your quote, and contact you about it;
  • arrange site assessments, and supply, install, commission and service equipment;
  • register warranties with manufacturers and handle warranty or service claims;
  • invoice you, keep financial records and meet our legal and tax obligations;
  • answer your questions and give you advice you asked for;
  • keep our website secure, and understand how it is used so we can improve it;
  • measure the results of our online advertising;
  • send you service reminders or news about our products and services, but only if you are an existing customer or have agreed to receive them. You can opt out at any time.

4. Who we share it with

We do not sell your personal information. We share it only where needed, and only with parties that must keep it confidential and secure:

  • Service providers who help us run our business, such as our website and email host (Afrihost, in South Africa), website statistics (Automattic, through Jetpack) and advertising measurement (Google).
  • Manufacturers and suppliers such as Fröling, Samsung, Alliance, Jet-Air and ITS, where needed to order equipment or register and honour warranties.
  • Professional advisers such as our accountants and auditors.
  • Authorities where the law requires us to share it.

If you choose to contact us on WhatsApp, your messages are also processed by WhatsApp (Meta) under its own privacy policy.

5. Information sent outside South Africa

Some of our service providers, such as Google and Automattic, may store or process information outside South Africa. We only use providers that are bound by laws, binding agreements or corporate rules that protect your information to a standard similar to POPIA, as section 72 of POPIA requires.

6. How we protect it

We take reasonable technical and organisational measures to keep your personal information secure, including encrypted connections (HTTPS) on our website, access controls, and limiting access to the staff and providers who need it. If we believe your information has been accessed without authorisation, we will notify you and the Information Regulator as POPIA requires.

7. How long we keep it

We keep personal information only for as long as we need it for the purposes above, or as long as the law requires. Financial and tax records are kept for at least five years. Quote requests that do not lead to work are deleted or anonymised once they are no longer needed.

8. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you and request a copy of it;
  • ask us to correct information that is inaccurate, out of date or incomplete;
  • ask us to delete or destroy information we are no longer allowed to keep;
  • object to our processing of your information, including for direct marketing;
  • withdraw consent you have given us, at any time;
  • complain to the Information Regulator.

To use these rights, contact us using the details in section 1. We may need to confirm your identity before we act on a request.

9. Cookies

Cookies are small files stored on your device when you visit a website. We use:

  • Essential cookies that make the site work, such as remembering the products on your quote list and keeping you signed in to your account.
  • Statistics and advertising cookies from Jetpack (Automattic) and Google, which help us understand how visitors use the site, which pages and adverts brought them here, and how well our advertising works. WooCommerce also records how you arrived at our site when you send a quote request.

You can block or delete cookies in your browser settings. If you block essential cookies, parts of the site, such as the quote list, may not work.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
